These instructions apply to personal information controlled by Xinnong Greenhouse Solutions and connected with our website, commercial enquiry records, email communications, WhatsApp Business conversations or Meta business services.
1. Send your deletion request
Email info@xinnonggreen.com using the exact subject line Data Deletion Request.
Please include enough information for us to locate the relevant data:
- Your name.
- The email address or WhatsApp number you used to contact us.
- The channel used, such as the website, email, WhatsApp Business or a Meta advertisement or lead feature.
- A brief description of the enquiry, conversation or project record you want deleted.
- An approximate date of contact, if available.
Do not email passports, identity cards, bank information or other sensitive documents unless we specifically explain that limited additional evidence is necessary for identity verification.
2. Identity verification
To protect personal information from unauthorized deletion, we will verify that the requester is the person concerned or is authorized to act for that person. Verification may include replying from the email address used in the enquiry, confirming control of the relevant WhatsApp number, or providing limited additional information that matches our records. We will request only what is reasonably necessary for verification.
3. What happens after verification
After successful verification, we will identify personal information under our control that falls within the request and delete or anonymize it as required by applicable law. We will respond within the period required by applicable law and confirm completion, or explain any data that cannot be deleted and the reason for the exception.
4. Data that may need to be retained
A deletion request does not require us to erase information that must lawfully be retained. Depending on the circumstances, limited data may be kept where necessary for:
- Contract, transaction, accounting, tax, customs, warranty or regulatory records.
- Compliance with a legal obligation, court order or lawful government request.
- Establishing, exercising or defending legal claims and resolving disputes.
- Preventing fraud, abuse or security incidents and maintaining the integrity of our systems.
- Protected backups that remain until the applicable backup cycle expires, provided the retained data is not restored to ordinary use.
Where an exception applies, we will limit further use of the retained data to the purpose that requires its retention.
5. Meta, WhatsApp and other third-party data
We will address copies of your information that Xinnong Greenhouse Solutions controls. Meta, WhatsApp, Google, your email provider and other third parties may independently control information on their own systems under their terms and privacy policies. You may need to use the privacy or account controls provided by those services to request deletion of data they control.
